Privacy Statement

CV Advisory SRL (also referred to as “we”) is committed to protecting the confidentiality and privacy of information entrusted to it. The present Privacy Statement aims to provide information on how we collect, use, share, process and protect the Personal Data that we have obtained. 


1. Collection of Personal Data

Personal Data refers to any information relating to an identified or identifiable natural person. 

A person can be identified:

  • Directly (for example: name, surname) ;  
  • Indirectly (for example: through an identifier (customer number), a number (phone number), biometric data, various specific elements pertaining to their physical, physiological, genetic, psychological, economic, cultural, or social identity, as well as voice or image).

The identification of a natural person can be accomplished:

  • From a single piece of data (for example: ID number) ; or
  • From the intersection of a set of data (for example: someone living at a certain address, born on a certain day and active in a certain association).

When the combination of information can lead to the unique identification of a person ('singling out'), each element also constitutes Personal Data. 

Personal data includes thus notably the name, first name, and contact details of the representatives of our clients and/or of their team members.

We generally collect only the Personal Data necessary to fulfill our clients’ requests. We only collect special categories of Personal Data when the relevant individuals voluntarily provide us with this information or where such information is required or permitted to be collected by law or professional standards. 

Sensitive data refers to Personal Data that requires a higher level of protection because its Processing may lead to significant risks. We do not collect sensitive data (e.g. data related to health, data revealing racial or ethnic origin, sexual life or sexual orientation, political opinions, religious or philosophical beliefs, or trade union membership etc.).

2. Use of Personal Data

By submitting Personal Data to CV Advisory SRL, you are giving your explicit consent for CV Advisory SRL to use this data in accordance with this Privacy Statement. Your Personal Data will not be used for other purposes, unless we obtain your permission, or unless otherwise required or permitted by law or professional standards. 

In general, you are not required to submit any Personal Data to CV Advisory SRL, but we may require you to provide certain Personal Data in order for you to receive additional information about our services and events. We may also ask for your permission for certain uses of your Personal Data, and you can agree to or decline those uses. If you opt-in for particular services or communications, such as an e-newsletter, you will be able to unsubscribe at any time by following the instructions included in each communication. If you decide to unsubscribe from a service or communication, we will try to remove your information promptly, although we may require additional information before we can process your request.

We use the information we collect about you for the purposes set out below:

  • Provision and improvement of our Services: We use the information that you give us to provide you with the Services and to improve them, as the case may be. 
  • To communicate with you about the Services: We use your contact information to get in touch with you and to send you communications about our offer of Services that we think you would be interested in. 
  • For safety, security, fraud and abuse measures: We may use information about you to prevent, detect, investigate and address safety, security, fraud and abuse risks.
  • For troubleshooting and error resolution: We may need to access and use your Personal Data to support your request for help or correct general errors.
  • For matters where we are required to use your information by law: We will use or disclose your information where we reasonably believe that such action is necessary to (a) comply with the law and the reasonable requests of law enforcement; (b) to enforce our General Conditions; and/or (c) to exercise or protect the rights, property, or personal safety of the Company, its managers, clients or others. 

3. Sharing and transfer of Personal Data

We do not share Personal Data with third parties, except as necessary for our legitimate professional and business needs, to carry out your requests, and/or as required or permitted by law or professional standards.

This would include:

  • Disclosure of Personal Data to our service providers: CV Advisory SRL works with reputable partners and service providers so they can process your Personal Data on its behalf. CV Advisory SRL will only transfer Personal Data to them when they meet its standards on the processing of data and security. We only share Personal Data that allows them to provide their services;  
  • CV Advisory SRL relies on a cloud service provider (i.e. Google Cloud EMEA Ltd, whose registered office is located at 70 Sir John Rogerson's Quay, D02 R296 Dublin, Ireland.) to store its data.
  • Disclosure of Personal Data if CV Advisory SRL is reorganized or sold to another organization: CV Advisory SRL may disclose Personal Data in connection with the sale, assignment, or other transfer of its business;   
  • Disclosure of Personal Data to courts, tribunals, law enforcement or regulatory bodies: we may disclose Personal Data in order to respond to requests of courts, tribunals, government or law enforcement agencies or where it is necessary or prudent to comply with applicable laws, court or tribunal orders or rules, or government regulations;    
  • Disclosure of Personal Data may also be needed for data privacy or security audits and/or to investigate or respond to a complaint or security threat.

CV Advisory SRL will not transfer the Personal Data you provide to any third parties for their own direct marketing use.

4. Processing of Personal Data 

A Processing of Personal Data refers to an operation, or a set of operations, performed on Personal Data, regardless of the means used (collection, recording, organization, storage, adaptation, modification, extraction, consultation, use, communication through transmission, dissemination, or any other form of making available, as well as reconciliation).

For example: maintaining a customer database, collecting contact details of prospects via a questionnaire, updating a supplier database, etc.

The applicable legislation allows us to process Personal Data, as long as we have a Processing ground under the law to do so. It also requires us to tell you what those grounds are. As a result, when we process your Personal Data, we will rely on one of the following legal grounds for Processing:   

  • Performance of a contract: this is when the Processing of your Personal Data is necessary in order to perform our obligations under a contract or the intention to enter into a contract;
  • Legal obligation: this is when we are required to process your Personal Data in order to comply with a legal obligation, such as keeping records for tax purposes or providing information to a public body or law enforcement agency; 
  • Legitimate interests: we may process data about you where it is in our legitimate interest in running a lawful business to do so, in order to further that business (e.g. direct marketing), as long as it does not outweigh your interests; or
  • Your consent: we may occasionally ask you for specific permission to process some of your Personal Data, and we will only process your Personal Data in this way if you agree to us doing so. You may withdraw your consent at any time by contacting us at privacy@cvadvisory.be.

For example: we will collect various information about our clients when we provide them with a service or issue our invoice. These operations involve Processing Personal Data and are aimed at managing our clientele.

We will not process your Personal Data further in a way that is incompatible with those purposes.

5. Protection of Personal Data 

CV Advisory SRL endeavors to protect Personal Data from unauthorized loss, misuse, alteration, or destruction. Despite our best efforts, however, security cannot be absolutely guaranteed against all threats. To the best of our ability, access to your Personal Data is limited to those who have a need to know. Those individuals who have access to the Personal Data are required to maintain the confidentiality of such information.

We also make reasonable efforts to retain Personal Data only for so long as the data is necessary to comply with an individual's request or with the applicable legislation.

6. Your rights 

If you have submitted Personal Data to CV Advisory SRL, you have the following rights:                

  • Access and correction: you have the right to access that data but before providing Personal Data to you, we may ask for proof of identity and sufficient information about your interactions with us. If the information we hold about you is incorrect, you may ask us to correct any inaccuracies.          
  • Object to Processing: you have the right to object to us Processing your Personal Data if we are not entitled to use it anymore.      
  • Right to restriction of Processing: you have the right to request a restriction on the Processing of your Personal Data.
  • Right to erasure: you have the right to the erasure of any Personal Data (except in some cases, for example, to prove a transaction or when required by law).   
  • Right to data portability: under certain conditions, you have the right to receive your Personal Data, which you have provided to us, in a commonly used, structured machine readable format and to transmit your Personal Data to any third party of your choice.

You can make a request or exercise these rights by contacting us at privacy@cvadvisory.be and we will make all reasonable and practical efforts to comply with your request, so long as it is consistent with applicable law and professional standards.

7. Modifications

CV Advisory SRL may modify this Privacy Statement from time to time to reflect our current privacy practices. If we make any significant changes in the way we treat your Personal Data, we will make this clear via an e-mail communication.

In any event, you always have the right to lodge a complaint with the Belgian regulator in charge of protecting Personal Data, i.e. the Belgian data protection authority.
